Moving from Pro POS or BUSY to new software, step by step
Moving to new billing software feels risky when your old software holds years of work. You worry about losing product lists, customer names and old khata balances (the money customers still owe you). That fear is fair: a bad move slows down billing and creates wrong balances. A careful move keeps your data safe. This guide shows the steps in order: what to move, what to check, and what to leave behind.
Why shop owners move from old software
Old software often worked well when the shop was small. Problems grow as the shop grows. With many older desktop programs, the main problems are simple to spot:
- It runs on one PC only. If that PC stops, billing stops too, and the owner cannot check sales from home or another computer.
- It does not sync over the internet. Sales, stock and khata on one PC do not match another PC. Staff copy numbers by hand, and hand copies cause mistakes.
- No phone app. The owner cannot check a balance on a phone, and a sales officer in the market cannot book an order with it.
These limits do not mean the old software was bad. They mean the shop now needs a wider system. A move is worth it when these limits slow down daily work, not just because new software looks modern.
What data moves
Most of a move is about four lists. If these four move cleanly, the shop keeps working from day one.
- Products: name, price, unit and barcode for each item. Look for duplicate names first; two names for one item cause confusion later.
- Customers: name, phone number and area. Keep one record per customer, and drop old test entries with no sales.
- Suppliers: name, phone number and balance, so you know who you still need to pay.
- Old khata balances: what each customer owes on the day of the move. This is the most sensitive list: one wrong balance can start an argument with a customer.
Clean the lists a little before you export: remove clear duplicates and fix the spelling of your top customers. You do not need a perfect list. You need a list you trust.
Step by step: move in the right order
Do these steps in order. Do not skip the backup or the check: the check is what keeps you safe.
- Take a full backup of the old software. Save one copy on a USB drive and another on a different computer, and test that the backup opens. A backup you cannot open is not a backup.
- Export the four lists to Excel, in separate sheets or files. Keep the original export files unchanged; clean a copy.
- Check the export by eye. Look for blank names, missing prices and wrong totals. Fix small errors now, while the old software still runs.
- Import one list at a time: products, then customers, then suppliers, then khata balances. If one list fails, fix and import that list only.
- Check the totals. Compare counts and totals in the old and the new software. Every number must match before you go further.
- Run both for 2 to 3 days. Make bills in the new software, but keep the old one ready to look things up.
- Switch fully only when the totals match and daily billing works well. Tell your staff the date, so nobody bills in the old software by mistake.
| What you checked | Old software | New software |
|---|---|---|
| Products | 342 | 342 |
| Customers | 118 | 118 |
| Suppliers | 24 | 24 |
| Total khata owed to you | Rs 3,45,600 | Rs 3,45,600 |
What not to move
Do not move every old bill. Old bills are history, not daily work. Moving thousands of them takes a long time and often brings old errors into the new system.
Keep the old software for records instead, on the old PC or as a safe backup. You may need an old bill for a customer question, a supplier check or a tax record.
Do not delete the old backup after the move. Keep it as long as your records need it: tax records often must be kept for several years, so check with your tax advisor. A move is complete when the new system works and the old record is still safe.
How SundarVahi does it
SundarVahi can bring in a Pro POS backup, a BUSY export or any Excel sheet: your products, customers, suppliers and old khata balances. Setup and data import are included in the 15-day free trial, so you can check every total before you pay anything.
Tip: do the move on a slow day, not on a busy market day, and keep the old backup in two places.
Questions
Will I lose my old khata balances in the move?
No, if you follow the steps. Export the khata balances, import them, and check that the total matches the old software before you switch fully.
How long does a move take?
For a small shop, often a few hours. A large product list takes longer. Do not rush the check step: it protects your balances.
Should I delete the old software after the move?
No. Keep it for old bills and records, and delete it only when you no longer need them and have a safe backup.
